Single Data Entry. Software integration means that data is entered into the system once and thereafter resides in a single database where it can be accessed by any part of the system, wherever and whenever it is needed. With integration, this information is available in "real time" rather than downloaded or uploaded from another program or database. This saves valuable staff time by eliminating the need for duplicate data-entry by multiple departments and helps to ensure that all information is accurate and up-to-date.
Improved Communication. When providers use separate software systems for different disciplines or departments, the lack of integration can be a big stumbling block to communication. Resident data must be updated in multiple places making mistakes and miscommunications common. This can only hinder the staff in their efforts to provide quality care in an efficient and productive manner.
Consistent Billing. Integration is particularly important between accounting and clinical programs in Long-Term Care software because it provides a critical link between those who are administering care and those who process the billing for that care. With true integration, the following benefits are realized:
-
As MDS assessments are completed by clinicians, the RUG score, as well as the corresponding effective dates, automatically populate the resident's billing file to ensure proper billing and maximize reimbursements.
-
Updates to a resident's diagnoses are reflected in all parts of the system, including any MDS in progress, Resident Master File, billing, etc. Integration ensures consistency of diagnoses between the MDS and billing/claims.
-
Billing staff can easily determine whether the assessments necessary for proper billing have been started and completed.
-
Consistent and up-to-date resident data is available throughout the system, such as demographic and census information, room changes, etc.
Accurate Coding. Integration also makes it possible to use the flow of information to make more informed decisions regarding coding of the MDS. Information collected through regular assessments and electronic documentation of ADLs can be accessed efficiently to allow the MDS coordinator to analyze the data for the most accurate coding.
Operational Efficiencies. Integration of financial systems can also help make business office operations more efficient. Automatic posting of transactions to General Ledger from Accounts Receivable, Accounts Payable and Payroll make it possible to provide up-to-the-minute balances and accurate on-demand reporting.
Corporate Reporting. Integration also provides the capability to view and analyze information as it happens, rather than after the fact. When all parts of the organization are using the same system, management can access data to identify trends and issues, allowing them to make proactive decisions to impact the outcomes.
Interface ≠ Integration. It is important to note that an interface is NOT the same as integration. Many programs share data through an interface, which means the data must be exported or downloaded from one database and imported or uploaded to another. Therefore, the accuracy and availability of the data depends on the timing and integrity of the interface.
Coordinated Implementation. The task of implementing software for your entire facility is streamlined and simplified if the modules were built to work together. With different vendors implementing separate systems, setup can be very complicated and time-consuming, especially in troubleshooting any issues with an interface between them. With expert knowledge on the entire system and how it works together, a single vendor would be able to help you create an implementation plan that best meets your needs and ensure a more seamless transition.
Centralized Software Support. Finally, the convenience of calling one number when you need assistance is an important benefit. This is especially true when you are relying on the flow of data between disciplines to continue normal facility operations. If they are not working on an integrated system, you could end up talking to multiple vendors, none of whom want to claim responsibility for resolving your issues. With an integrated system from a single vendor, there is no question whom to contact to help get you back up and running with the least hassle.
